Personal Data Protection
General
For the "SOCIAL COOPERATIVE OF LIMITED LIABILITY OF THE 2ND SECTOR OF MENTAL HEALTH OF THE PREFECTURE OF ATTICA" operating under the trade name "PLORI" (hereinafter referred to as the "Cooperative"), the protection of personal data of natural persons is of paramount importance. For this reason, all necessary measures are taken to ensure that personal data provided when submitting a job application remain protected and secure. This Annex sets out the specific terms for compliance with national and European legislation, and in particular with European Regulation 2016/679 on the protection of natural persons with regard to the processing of personal data (General Data Protection Regulation).
Types of Data
The Cooperative collects directly from you, as a job applicant, both standard and sensitive personal data in order to determine the field in which you wish to work and your specific qualifications. In particular, the following information is collected through the "Job Application":
- First name, last name
- Date of birth
- Address and other contact details
- Tax and insurance identification numbers (TIN, AMKA, IKA registration number)
- Identity card number
- Residence/Work permit and expiry date
- Educational background, field of study
- Professional experience
- Marital status
- Receipt of benefits
- Attendance at training seminars/workshops
- Cooperative membership status
- Referring agency
- Whether or not mental health services are being received
- Reasons for seeking employment
- Preferred area of work
Purposes of Data Processing
The personal data submitted to the Cooperative through the Job Application are used exclusively for the lawful purposes set out in the following paragraph. These data may also be used to fulfil any legal obligations of the Cooperative or to serve related legitimate interests. Under no circumstances will the submitted data be processed without a corresponding lawful basis for processing.
Specifically, upon receipt of your Application, your data are used exclusively by the Cooperative's "Personnel Development and Care Department" for one of the following purposes:
- The assessment of your qualifications
- Your referral to a specific position that matches your abilities and relates to the field in which you wish to work
- Your participation in a probationary work period under the supervision of appropriately trained Cooperative staff
- Your employment in a specific position following the conclusion of any probationary period
- Your psychosocial support by specialist professionals (social workers, psychologists, etc.) within the Personnel Development and Care Department
- Compliance with any obligations arising from labour legislation
- The Cooperative's defence in the event of legal claims brought against it
Data Retention Period
The personal data you provide will be retained until the end of the probationary work period, and beyond, in the event that you are employed in a specific position by the Cooperative. If you are not hired for a specific position, your personal data will be retained by the Cooperative — provided you have given your consent — for the purpose of being reconsidered for future employment opportunities.
Your personal data will in any case be retained for the periods prescribed by law, where this is required by specific legislation relating to the provision of mental health services (e.g. the Code of Medical Ethics), or within the framework of legal obligations arising from provisions of tax, insurance, and labour legislation.
Access and Transfer of Data
The data are subject to internal processing by the Cooperative, and specifically by the "Personnel Development and Care Department". Processing is carried out exclusively by employees whose responsibilities relate to the management of the Cooperative's human resources, and by professionals involved in the psychosocial support of employees and job applicants. The Cooperative has ensured that all those working towards its objectives, as well as any third-party collaborating parties, will provide a high level of security for your data.
In all of the aforementioned cases, the Cooperative remains responsible for the processing of your personal data and sets the terms of data processing by employees and any third parties, based on documented instructions and an explicit commitment to confidentiality, so that the same high level of protection is always provided. The Cooperative will not share your personal data with any further third party without your prior consent, unless required to do so by law (such as in the case of a court order, a prosecutor's order, etc.).
Personal Data Security
The Cooperative is committed to the security of data provided by job applicants. Specific technical and organisational procedures protect the submitted data from any disclosure, unauthorised access, modification, or loss.
In any case, if — despite the very high level of protection provided by the Cooperative — unauthorised persons gain access to your personal data by breaching security measures, the Cooperative will act immediately to remedy the breach and comply with the procedure prescribed by the General Regulation for notifying the competent authorities and the data subjects.
Rights Regarding Personal Data
At any time, you have the ability to exercise one of the following rights as provided under the General Regulation:
- a/ The right of access to the information submitted and to receive a copy thereof, in order to verify the lawfulness of the processing
- b/ The right to rectification of personal data
- c/ The right to erasure of personal data, where this is not prohibited by a contrary legal obligation
- d/ The right to restriction of processing and the right to object where there is reasonable disagreement regarding the purposes of processing
- e/ The right to data portability and transfer to other data controllers, where technically feasible
